Assistant Department Administrator (Finance)



This position manages administrative activities to fulfill the educational, research, and healthcare missions of a department in the College of Medicine at USF Health. The responsibilities of this position will include administrative management of some or all of the following: budgetary, financial management, purchasing, research grants administration, space allocation and utilization, fiscal and administrative compliance, human resources administration, search coordination, and diversity.• Bachelor's degree in related field -OR- equivalent combination of education and experience.
• 4+ years of related experience.

• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor's degree;
• (c) Six years of direct experience for a master's degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration
required for the position of employment as established by the public employer and indicated in the
advertised description of the position of employment.

  • Clinical Funds Flow Management: Provides project management support to department administrator in finalizing full implementation of the compensation plan for Pediatrics. Serves as a resource/point person for faculty that have questions or need ad-hoc analysis about their clinical funds flow. Provides forecasting for future faculty compensation changes due to assignment or fund source changes. Works in collaboration with the finance team on the funds flow component of the compensation plan. Monitors and communicates with division chiefs and faculty about wRVU productivity. Lead similar efforts for future APRN funds flow plan.
  • Contracts Management: Overseeing maintenance of clinical contracts and developing new ones, such as clinical service agreements and on-call agreements with hospitals. Reviews MOUs and other partnership agreements on behalf of the department.
  • Business Planning: Creating proformas and business plans for new recruitments and service lines, and ensuring these plans are implemented through the proper channels.
  • Faculty Recruitment: Collaborating with the department chair to assess and implement recruitment initiatives and strategies. Oversees ramp up and clinical onboarding process for subspecialty new hires.
  • Departmental Communications and Special Projects: Preparing the annual report and other communications initiated by the chair's office.
