Travel and Fleet Operations Manager (Administrative)

$60,000-$70,000 annual salary

Job Title: Travel and Fleet Operations Manager
Reports to: Vice President, Facilities and Operations
FLSA Status: Exempt
Location: Remote, with some travel as needed for the business
Direct Reports: None
Department: Facilities and Operations

JOB RESPONSIBILITIES:

The Travel and Fleet Operations Manager is responsible for overseeing J&P's company-owned and leased vehicles, mileage reimbursement program, and corporate travel program. This role ensures vehicles are safe, well-maintained, and cost-efficient, while also managing the company's travel policies, vendor relationships, and booking oversight to maximize travel efficiency and control costs.
The Manager works closely with leadership, field teams, and vendors to ensure compliance with company policies, accurate reporting, and a positive employee experience for all travel and transportation needs.

ESSENTIAL FUNCTIONS:
Fleet Management
· Oversee the lifecycle of company-owned and leased vehicles, including procurement, registration, insurance, maintenance, and disposal.
· Ensure compliance with safety standards, vehicle policies, and manufacturer maintenance schedules.
· Manage relationships with dealerships, leasing companies, and service vendors.
· Track vehicle usage, fuel efficiency, and maintenance records for cost control and reporting.
· Track mileage and compare costs to determine whether a fleet vehicle or mileage reimbursement is the most cost-effective option for each situation.
Mileage Reimbursement Program
· Manage the company's mileage reimbursement program, ensuring accuracy, timely processing, and compliance with IRS guidelines.
· Review and approve mileage reports, resolving discrepancies as needed.
· Identify opportunities to improve efficiency and cost-effectiveness in travel-related reimbursements.
Corporate Travel Program
· Oversee all aspects of the company's travel program, including air, hotel, and ground transportation bookings.
· Maintain relationships with travel vendors, agencies, and online booking tools.
· Monitor travel spending, negotiate vendor contracts, and ensure compliance with company travel policies.
· Review and approve travel arrangements to ensure cost efficiency and policy compliance.
· Provide guidance and training to employees on travel procedures.
Reporting & Analysis
· Prepare and distribute regular reports on fleet utilization, mileage reimbursement trends, and travel spending.
· Analyze data to identify trends, cost-saving opportunities, and areas for operational improvement.
· Present recommendations to leadership based on travel and transportation analytics.
QUALIFICATIONS:
· 3+ years of experience managing corporate travel programs, fleet operations, or related transportation/logistics functions.
· Strong vendor management and contract negotiation skills.
· Knowledge of fleet management best practices and travel program compliance requirements.
· Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams, PowerPoint).
· Familiarity with travel booking tools and fleet management software.
· Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
· Excellent verbal and written communication skills.
· Strong customer service skills.
· Experience in hospitality, service, restaurants, or retail preferred.
· College degree a plus.

REQUIREMENTS:

· Ability to travel up to 10% of the time. Work schedule may vary based on business needs, including evenings, weekends, and holidays.
· Must possess and maintain a valid driver's license and Real ID-compliant identification.
· Must be able to travel by car and commercial air.
· Prolonged periods of computer use and phone-based communication. Some lifting up to 25 lbs. may be required during travel or events.
· Must maintain a professional appearance and demeanor appropriate for a business setting.
· Must be able to perform the essential functions of the position, with or without reasonable accommodation.
· Must be able to successfully complete a criminal background check in accordance with applicable federal, state, and local laws and company policy.
