Gift Agreement & Estate Administration Manager (Finance)

Description:

Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes.

1. Plans and develops procedures for administering a large or complex department or program.
2. Manages fiscal activities, including procurement and budget analysis.
3. Provides guidance to subordinate staff and evaluates performance.
4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
5. Creates and reviews reports of expenditures and activities.
6. May administer grants and grant-related related communications, scholarships and other operations.
7. Develops, implements and maintains appropriate policies and procedures.
8. May serve as property custodian for the department.
9. Performs other job-related duties as assigned.

MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4-year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.

Experience: Requires a minimum of one (1) year of directly job-related experience.

Certification/Licensing: None.

Summary:

The Gift Agreement & Administration Manager plays a central role in drafting, reviewing, and managing gift agreements, ensuring the proper documentation, compliance, and administration of philanthropic commitments and gifts to the University of Houston System, its universities, and its support organizations. Working closely with fundraising, legal counsel, finance, and stewardship teams, the Manager promotes process development and maintenance to regulate pipeline workflow while ensuring donor intent is clearly documented, gift terms are administratively feasible, and institutional standards are upheld. This role is responsible for assisting Gift Compliance and Stewardship Teams in the administration of realized planned gifts and donor activity related to gift agreements. This position contributes to a strong foundation of donor trust, operational integrity, and coordinated stewardship across the institution.

Additional Job Duties:

•Assist with the overall project management in this gift agreement space Track agreement fulfillment and ensure timely setup of new funds, pledge documentation, and gift commitments.
•Maintain version control and ensure appropriate approvals are obtained for all agreements (DocuSign).
•Route and sometimes draft gift agreements, endowment agreements, and naming agreements in collaboration with frontline fundraisers.
•Support the accurate and timely input of agreement data into the advancement CRM (BBCRM) and document management systems.
•Manage amendment and reallocation processes for existing agreements in collaboration with stakeholders.
•Collaborate with and advise members of Gift Compliance and Stewardship Teams regarding the recording and review of pledge and gift transactions related to Gift Agreements and realized planned gifts.
•Interpret and apply policies related to gift acceptance, endowment minimums, naming conventions, and gift types.
•Contribute to the development and refinement of internal policies, templates, and workflows to increase efficiency and compliance.
•Coordinate and prepare support documentation as needed
