Group Reservation Coordinator (Finance)



Job Description Summary

The Reservations Co-Ordinator will play a crucial role in ensuring that all group bookings are handled and processed efficiently and accurately. This position requires consistent interactions with the Sales and Convention Services Departments to facilitate smooth operations.

Job Description

You will assist in ensuring that all group blocks are created, monitored, and maintained correctly before, during, and after the group's stay. Your attention to detail and organizational skills will be essential in this fast-paced environment, where you will be responsible for managing multiple group reservations simultaneously. Your responsibilities will include reviewing group blocks for cut-off date extensions, attending weekly group pick-up meetings, and running daily group arrivals lists and no-show reports. You will also check for duplicate reservations by contacting guests to ensure accuracy in guest names and special requests. Additionally, you will be tasked with identifying and correcting any group reservation errors by communicating with the reservation caller or group contact to verify information. Reporting directly to the Director of Sales and Marketing, you will collaborate with the Convention Service Manager and group clients to manage group rooming lists, reservation changes, and billing in accordance with contracts and email history. After the group's departure, you will complete the Group Commission Report and monitor room type availability and non-guaranteed reservations daily. Your role will also involve taking in-house reservation calls, assisting with VIP and internal reservations, and handling fax and email reservations.

Responsibilities

  • Review group blocks for cut-off date extensions and ensure they are created and monitored correctly Attend weekly group pick-up meetings.
  • Run daily group arrivals lists and no-show reports.
  • Assign PM accounts.
  • Check for duplicate reservations by contacting guests to ensure accuracy of names and special requests.
  • Identify and correct group reservation errors by contacting the reservation caller or group contact.
  • Work with the Convention Service Manager and group clients on rooming lists, reservation changes, and billing.
  • Complete the Group Commission Report after the group's departure.
  • Monitor room type availability daily.
  • Monitor non-guaranteed reservations and contact callers if needed, cancel reservations when required.
  • Create and maintain group and transient room blocks, ensuring correct billing and necessary information.
  • Conduct competition rate analysis as needed.
  • Take in-house reservation calls from customers and agents.
  • Assist in completing all VIP and internal reservations
  • Assist in completing all fax and email reservations.
  • Research and charge for all no-shows, cancellations, and deposits.
  • Audit commissions paid out.
  • Attend Pre-Convention Meetings, Resume Meetings, Group Pick-up Meetings, and Reservations Departmental meetings.

Physical Demands

  • Must be able to exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Frequently handling objects and equipment.
  • Standing/sitting for extended periods of time and moving about the facility.

Education and Experience
  • 2+ years Front Office experience or related required.
  • Prior Reservations Coordinator or Manager experience preferred.

Qualifications and Skills

A candidate for this position must possess the following applicable knowledge, skills and abilities and be able to demonstrate and provide applicable examples to support his/her competency.

  • Professional verbal communication skills.
  • Demonstrable expertise in analysis and action taking.
  • Excellent organizational skills and attention to detail.
  • Experience with Microsoft Office.
  • Delphi and Opera PMS experience a plus.
  • Prioritization and time management skills.
  • Working quickly without compromising quality.

Pay Range

* Pay range $24.00 to 25.50 -

Union Property: Pay rate outlined follows contract requirements.
Non-Union: The base pay offered may vary based on various factors, including but not limited to job-related knowledge, skills, and specific/overall experience.
