Division/Department/Program: AD Semi-Independent/SUD Residential Programs (Women Opioid Use Disorder &SA Residential)

The Program Assistant serves as a key administrative and operational support role for both the Womens Opioid Use Disorder (WOUD) Residential Program and SA Residential. This position provides comprehensive support to the Program Manager and treatment teams across these semi-independent SUD programs. The Program Assistant will facilitate care coordination between these two programs, ensuring seamless integration of services within the Residential SUD Continuum of Care. The role is crucial for the smooth operation of both programs, focusing on client support, administrative tasks, and ensuring high-quality care and service delivery.

Reporting to the Program Manager, the Program Assistant will work collaboratively with clinicians, counselors, peer recovery coaches, and administrative staff to promote a coordinated approach to recovery. By supporting the needs of both programs, the Program Assistant will help facilitate a comprehensive recovery journey for clients, whether they are engaged in the WOUD program or the SA Residential program and be responsible for overseeing patient flow and ensuring the centers administrative needs are being met. Resolves routine administrative problems independently and registers new clients during intakes and transitions of care in a timely manner, assists with linkage to community resources, schedules and tracks appointments with VPH providers, and answer telephone calls in a professional and courteous manner. This position will maintain databases, logs, and other records of routine information. Responds to requests for information and maintains organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.

The Program Assistant provides a variety of routine clerical functions within a behavioral health office setting. The position may require alternating weekend and holiday coverage to ensure consistent program operations.

Duties & Responsibilities:
Manage day-to-day administrative functions for the AD Semi-Independent Residential programs, including scheduling, documentation, and maintaining accurate records in CareLogic.Ensure that all client intake paperwork, consent forms, and medical records are completed accurately and stored according to confidentiality regulations.Handle program-related communications, including updating clients on program schedules, resources, and events.Coordinate logistics for community meetings, support groups, and client activities, ensuring that they align with the program's goals and client needs.Assist in managing the facilitys supply inventory, including ordering and distributing materials as needed for program operations.Provide support with billing, documentation, and reporting for program activities.Complete Point of Entry (POE) intake flow to include consents for services, release of information, financial applications, etc.Schedule intakes, doctor, nurse appointments; manage appointment reminders.Communicate assignments, messages, and other information to program staff.Coordinate and manage purchase orders, inventorying, and distributing supplies across programs. Collect monthly service fees from clients. Complete invoicing requirements on a monthly basis. Manage facility supplies inventories with attention to minimizing oversupply and managing expenses.Manage credit card receipts and assist with reconciliation of PCard purchases.Manage Time Clock program, serve as Leave Keeper, and report hourly payroll to Business Office; consult with supervisor to resolve issues. Provide technical assistance as needed.Informs the Director and Program Manager of any abnormalities or trends revealed by the program data.Monitor the well-being of clients and assist with providing direct care support as needed, particularly in the intake and discharge process.Serve as safety officer and support with maintaining compliance with safety standards and regulations. Complete monthly reports and assist with scheduling and executing required safety drills.

Care Coordination and Client Support:
Coordinate care and services across the Residential SUD Continuum of Care, including linking clients to VPHs Behavioral Health programs, and community resources. Provide transportation support as needed. Assist with managing client transitions into and out of the program, ensuring continuity of care and providing support for clients as they move between different stages of treatment.Support the tracking of client appointments, scheduling necessary services, and ensuring timely follow-ups with VPH providers and external partners.Complete and maintain monthly UDS schedule and support with packaging and documenting urine drug screens as scheduled.

Program Development and Quality Improvement:
Work with the Program Manager to implement program improvements and refine operational procedures to meet evolving clients and program needs.Participate in regular team meetings to promote collaboration and ensure alignment on client care and program goals.Assist in the preparation of monthly and quarterly reports on program activities, client outcomes, and operational data for internal and external stakeholders.Contribute to the development of new initiatives and activities that support the holistic recovery of women with OUD in the WOUD program.Performs other related duties as assigned.

Minimum Qualifications:
High school diploma or GED AND Two (2) years of general office or administrative experience

Preferred Qualifications:
Strong organizational and time management skills, with the ability to prioritize tasks and manage competing demands effectively.Excellent communication and interpersonal skills, with the ability to establish rapport with clients and colleagues.Ability to work effectively with individuals struggling with substance use disorders with empathy and non-judgmental care.

Requirements/Competencies:
Must be able to lift 20 pounds.Requires long periods of sitting/standing.Must be able to respond quickly to sounds.While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak.Candidates for selection must pass a criminal background check (including fingerprinting)Must pass a pre-employment drug screen and subject to random drug screens.

Note: Some positions may require a valid driver's license.
