Medical Affairs Operations Contractor (Sr Professional/Manager) (Finance)
Overview The Medical Affairs Operations Contractor ensures consistent and compliant field medical affairs operations. In accordance with Company Policies, the FMA Contractor will plan, execute, track, and report on Field Medical Projects including: FMA systems/tools, metrics, presentations, meeting planning, and overall operational coordination. In partnership with the Medical Operational Excellence Lead & Field Team Leads, the Medical Affairs Operations Contractor will execute all field medical contracts, track respective invoicing, provide operational oversight on field initiatives and onboarding processes to ensure effective completion and appropriate documentation. Responsibilities
Directly support the Medical Operations Excellence Lead in developing and managing project plans, tracking tools and dashboards, laying out key actions, stakeholders, resources and milestones, for prioritized projects
Establish and track development timelines for MSL plans (region management, and KOL mapping) with leadership from TA Leads
Provide VAULT CRM system support in alignment with Medical Operational Excellence and Cross-Functional CRM systems leads
Support with Medical to medical content system upload, maintenance, version control; i.e. round tables - support MSL to manage content and liaise with vendor to submit for approvals and track content revisions
Create, refine and support the roll-out of harmonized work instructions across the following MSL activities (plans, budget, reviews, etc.): Roundtables, regional/virtual advisory boards, and insight programs
Provide dedicated field project management support for the coordination of all field Medical Affairs projects and operations across all FMA teams
Manage and schedule applicable field medical affairs meetings, content review sessions and workshops
Track and monitor outside services: monitor budgets; review invoices, contracts, and coordinate agreements; communicate any potential operational concerns based upon regular risk-based assessments
Fulfill reporting requests from FMA Team Leads for VAULT CRM modules and other Field-based systems (Veeva Link Key People, Veeva Insights)
Manage the operationalization of MSL systems and metrics data and reporting (Veeva CRM, Link Key People, Scientific Share of Voice, InVision), working with field operations and vendor management (i.e. timely completion of tasks, clear and aligned project-specific communication)
Maintain an FMA Log: Maintaining transparency into Issues, Risks, Decisions and Changes to FMA Operations
Maintain knowledge of all SI compliance and regulations ensuring consistency in implementation of policies
MINIMUM JOB REQUIREMENTS
Bachelor's degree is preferred, but not required with applicable experience
Minimum of 5 years' experience in pharmaceutical industry ; a minimum of 2 years experience supporting in an operational role required, field medical affairs operations experience highly preferred
Demonstrated high level proficiency with Microsoft Office Suite of products (Office, Word, Excel, Power Point, Adobe), and strong typing skills
Strong project management skills and experience; Ability to effectively organize and prioritize tasks to achieve established deadlines; PMP preferred
Proactive style and able to anticipate needs, with a high level of attention to detail
Experience and success managing multiple tasks and deadlines at once. Excellent time management and organization skills
Ability to establish and manage relationships with company field and internal roles
Excellent interpersonal, communication (oral and written), and presentation skills
Ability to work in a matrixed environment and provide leadership to a diverse team
Demonstrated skills in systems management, coordination of teams, communication, meeting planning, effective reporting processes, and activity/project documentation
Must live a commutable distance to our US Corporate Headquarters in Florham Park, NJ. Office presence required 50% per month, at least 2-3 days per week
Additional InformationThe hourly rate for this position is $48-$75. Individual pay is determined by several factors, which include but are not limited to: job-related skills, experience, and relevant education or training. The range does not include the comprehensive benefits, bonus, long-term incentive, applicable allowances, or any additional compensation that may be associated with this role.
