Role Summary

The Occupancy Planner is responsible for driving the global occupancy strategy and space data management and analytics that support T. Rowe Price's long-term strategic vision ensuring alignment with business objectives and enabling autonomy and flexibility within regions. This position is responsible for: supporting the Workplace Experience & Strategy team by proactively managing and analyzing occupancy data to create future real estate and workplace strategies; managing occupancy planning and space utilization, and preparing space solutions and recommendations that meet stakeholder needs ensuring efficiency and cost-effectiveness across the portfolio; developing a framework that provides RE portfolio transparency and supports internal reporting, as well as developing and maintaining the Occupancy Planning playbook.   

This role requires a strong analytical mindset, excellent communication skills, and the ability to translate detailed data and high-level business goals into actionable real estate and space solutions.

Responsibilities

  • Integrated Real Estate Strategy Development: Collaborate with senior leadership and business units to develop a data-driven corporate real estate strategy that supports business goals, financial objectives, and the overall associate experience in the workplace.

  • Occupancy Forecasting & Planning: Oversee space portfolio, monitor supply, demand, and capacity requirements, and identify patterns and/or areas of low/high occupancy density or usage, anticipate future space needs to inform opportunities for better utilization. Prepare and maintain accurate occupancy reports using CAFM program (PlanOn, FMS) including employee locations, furniture layout, room configurations and specialty spaces are all correctly identified on floor plans.

  • Portfolio Analysis & Optimization: Conduct in-depth space and occupancy audits and analysis, including space utilization rates, occupancy costs, and market trends, to identify opportunities for optimization, consolidation, and inform strategic real estate decisions.

  • Block & Stack Planning: Create high-level block and stack plans for buildings and campuses, effectively allocating space to departments and business units based on adjacency and functional requirements and growth projections.

  • Scenario Modeling & Financial Impact: Develop and evaluate various real estate and occupancy scenarios, assessing their financial implications to support decision-making and quantify the value of proposed solutions.

  • Data Management, Analytics & Reporting: Maintain accurate occupancy data and generate and present comprehensive reports and dashboards on occupancy trends, utilization metrics, and strategic portfolio performance.

  • Workplace Standards, Playbook, & Guidelines: Develop and maintain workplace standards, occupancy planning playbook, guidelines, operating procedures, and best practices related to space allocation, design, and ergonomics, ensuring consistency across the portfolio.  Educate Business Units on space and occupancy policies & procedures.

  • Relocation Management: Partner with Move, Add and Change (MAC) Coordinators, project management, and business units to plan and execute internal relocations, restacks, and ongoing churn in accordance with Business Unit requirements and overall strategic plan while minimizing business disruption.

  • Stakeholder Engagement & Communication: Serve as a primary point of contact for business units and partner regarding both strategic real estate needs and day-to-day occupancy requirements (programming, project support, presentation, and business case analysis development). Manage and respond to space-related work requests (SelfService tickets) in a timely manner. Facilitate discussions, gather requirements, present findings, and gain alignment on proposed solutions

  • Risk Mitigation & Compliance: Identify potential risks related to real estate strategy and occupancy planning, ensuring compliance with relevant building codes, safety regulations, and internal policies.

  • Technology & Process Improvement: Leverage and champion the use of integrated technology solutions to enhance data accuracy, automate processes, and improve the efficiency and effectiveness of both strategic and occupancy planning functions.

Qualifications

Required:

  • Bachelor's degree or the equivalent combination of education and relevant experience AND -5+ years of total relevant work experience in corporate real estate strategic planning, occupancy or space planning for corporate clients

  • Proven track record of corporate real estate strategic planning and occupancy planning, demonstrating a strong understanding of both long-term portfolio management and tactical space utilization.

  • Familiarity with architectural drawings; furniture, fixtures, and equipment; design and space planning concepts; construction costs and schedules; project management skills

  • Proficiency in AutoCAD to produce basic test fits and square footage calculations and advanced Microsoft Excel skills (pivot tables, v-lookups, complex formulas). Working knowledge of Planon and Computer Aided Facility Management applications.

Preferred:

  • Degree in Real Estate, Architecture, Interior Design, Construction, Facilities Management (or related discipline)

  • Relevant industry certifications (e.g., CoreNet Global MCR, IFMA CFM)

  • Proven ability to determine what data sources are needed to conduct headcount forecasts, utilization analyses, and space allocations with limited guidance.

  • Proven ability to perform complex data analysis from multiple or incomplete data sources, financial modeling, and strategic problem-solving and translate/ consolidate the information into understandable reports and PowerPoint presentations. Experience with Data Management, specifically working with HR/organizational data and Real Estate space related data is preferred.

  • Exceptional communication, presentation, and interpersonal skills, with the ability to effectively engage and influence diverse stakeholders, manage expectations, and anticipate needs at all organizational levels.

  • Strong organizational skills and the ability to manage multiple priorities and demanding projects in a dynamic, fast-paced environment.

  • Demonstrated understanding of workplace industry trends including Agile/ Activity based work (ABW) portfolios, mobile/ collaborative workplaces, space optimization techniques, space metrics, and the impact of real estate on business performance.

  • A strategic and analytical thinker with a detail-oriented approach to execution who requires minimal supervision.

FINRA licenses are not required and will not be supported for this role.

Work Flexibility

This role is eligible for hybrid work, with up to one day per week from home.

Base Salary Ranges

$78,000.00 - $133,000.00 for the location of: Maryland, Colorado, Washington and remote workers
$85,500.00 - $146,000.00 for the location of: Washington, D.C.
$97,500.00 - $166,000.00 for the location of: New York, California

Placement within the range provided above is based on the individual's relevant experience and skills for the role.  Base salary is only one component of our total compensation package.  Employees may be eligible for a discretionary bonus, which is determined upon company and individual performance.
