Staff Assistant (Finance)



This position typically reports to an Office Manager, Administrative Manager, Assistant or Associate Director, or other administrator. The Staff Assistant will perform a wide variety of office and clerical duties of moderate complexity. This position is distinguished from clerical positions such as a Receptionist or Administrative Clerk by its more varied and assorted document preparation and administrative duties in support of the office operations. The preparation of documents of moderate complexity using word processing software at an intermediate level of proficiency is a fundamental aspect of this position and a distinguishing characteristic of positions assigned to this job class. The production of documents and data entry using spreadsheet, presentation, or database software at a basic level of proficiency may also be required. This position may assign work to or supervise student or temporary (OPS) employees. To fulfill the job requirements, employees assigned to this job title may be required to do data maintenance, inquiries and standard queries and reports from relational database systems (e.g., OASIS, FAST, Oracle, and/or special functional databases.)This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis. • Composes, types, and distributes meeting notes, correspondence, forms and reports of a moderate complexity. Produces documents requiring intermediate knowledge of word processing software, and basic knowledge of spreadsheet and presentation software.
• Provides purchasing support by preparing and initiating purchase orders, verifying P-card transactions, etc.
• Performs specialized project support duties of a clerical or administrative nature specific to the subject matter of the department or program. These duties may include entering data and running reports on databases, organizing schedules and meetings, and maintaining forms, files and other records.
• Provides information, assistance, and services to clients contacting the office, answering inquiries independently in person, by telephone, or in electronic or paper correspondence. Responds to routine inquiries regarding policies and procedures.
• Coordinates basic office moves, sets up office equipment repairs, and arranges for general office or building repairs.
• Operates office equipment, including copiers, scanners and printers to meet document preparation and production requirements. Coordinates mass mailings and assembles documents for meetings, workshops, and conferences.
• Prepares payroll to submit for certification. Audits payroll distribution and runs queries to audit payroll for accuracy.
• Coordinates attendance and leave administration for department.
• Prepares forms and documents required to hire new employees. Supports search and recruitment efforts by preparing interview schedules and scheduling candidates' visits.
• Makes travel arrangements for staff, guests, or speakers. Prepares and submits travel expense reports.
• Performs other clerical support duties as assigned in support of the objectives of the office and staff. Apply
