Executive Administrative Assistant - Chicago, IL - Hybrid (Finance)



LOCATION: position aligned to the Southern & Central, IL market. Must reside in the Chicago area.

Must be able to work in the office 3 days per week

Office location: 525 W Monroe Street, STE 1650, Chicago, IL

In addition to serving as the Executive Administrative Assistant to the Vice-President, Network Management, including calendar and meeting coordination and presentations, this position performs advanced administrative duties which include: performing the role of backup to Midwest Provider Contracting Manager team; maintaining up to date knowledge regarding inventories and processes; mentoring new staff in orientation and training of functions. This position is also responsible for ensuring quality of work and compliance of timeframes for general functions as well as their individual workload. This position will work closely with the Midwest contracting team in establishing workflow processes, updating procedures, and communicating and implementing the changes in workflow. The role reports to Vice-President, Network Management and supports the Network Management team.

DUTIES AND RESPONSIBILITIES :

  • Manage expenses, calendar, email, and communication for the Network Management Vice-President.
  • Assist as on-site coordinator for the Chicago Office.
  • Work in the office per current Cigna policy.
  • Act as back up phone receiver for members of the contracting team and triage calls appropriately.
  • Create reporting and presentations, which monitor goals and objectives for the team.
  • Process invoices for payment.
  • Monitor and train new and existing employees on workflows and system requirements. - Assist less seasoned employees as necessary.
  • Assist team members with ordering of equipment, ensuring appropriate access to all internal systems.
  • Assists manager with monitoring and updating system information as needed to ensure contracts are appropriately handled.
  • Participate in staff meetings.
  • Provide receptionist desk coverage as needed
  • Monitor and distribute emails from group email box on a daily basis.
  • Retrieve mail and packages as delivered onsite.
  • Open and distribute mail to appropriate team member.
  • Complete additional tasks and projects as assigned.
  • Contribute feedback and ideas to improve team performance as appropriate.
  • Keeps thesupervisor abreast of important developments, potential problems, and related information necessary for all job related functions.

POSITION REQUIREMENTS :

  • High School diploma required, Associates or Bachelor's degree preferred
  • 3+ years Administrative skills in aManaged Careor Health Insurance organization
  • Strong organizational and communication skills
  • Strong interpersonal skills and the ability to interact well with diverse personalities; Detail-oriented. Displays a positive team attitude and willingness to assist others when necessary.
  • Requires ability to communicate effectively, both orally and in writing, and apply judgment in interactions with internal staff, customers, and vendors.
  • Clear, concise and courteous telephone manner; portrays a professional image on the telephone and to visitors.
  • Genuine interest in people-oriented work; must display a positive and caring attitude towards others
  • Proficient Computer experience with Microsoft Outlook, Work, Excel, and Power Point. Typing ability of 50 wpm.

If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.

For this position, we anticipate offering an hourly rate of 25 - 38 USD / hourly, depending on relevant factors, including experience and geographic location.

This role is also anticipated to be eligible to participate in an annual bonus plan.
